The Town of Westwood seeks a conscientious, team-focused Staff Assistant to join its Treasurer’s Office 20 hours per week. The MVC (Most Valuable Candidate) will be proficient in analytical research, very organized, and will exercise discretion and sound judgment in supporting the day-to-day operations of a busy Treasurer’s Office.
Representative duties include the following:
- Assists with monthly reconciliation of bank statements; works with various departments to resolve discrepancies.
- Prepares month-end and year-end reports for the Finance Department and outside auditors; assists auditors in locating documents and researching questions.
- Prepares and maintains payroll withholding schedule to ensure timely cash reconciliation.
- Assists with management of tax title and tax deferral accounts; runs account detail reports and prepares correspondence.
- Manages the unclaimed check process in accordance with Massachusetts General Laws. Identifies stale checks, pursues claims, and facilitates reporting of abandoned property to the Commonwealth.
- Completes employee retirement deduction reports by reconciling to payroll withholding schedule; prepares and submits electronic deduction files.
- Oversees and reconciles the Westwood Public School student activity accounts. Ensures compliance with Department of Elementary and Secondary Education guidelines and School Committee policies. Communicates with the School Department to resolve questions and discrepancies.
- Manages Westwood High School (WHS) scholarship accounts. Works with WHS on award issuance; ensures funds are sufficient to support awards.
- Prepares employee service requests. Researches payroll archives, assembles pertinent information, and communicates with employees.
- Assists with the preparation of legal requirements and documentation related to bond issuance.
Qualifications and experience: Associate’s degree in accounting or related field; Bachelor’s degree preferred. Three years of progressively responsible experience in accounting work, preferably in a municipal setting, or any equivalent combination of education and experience. The MVC will have knowledge of federal and state regulations as they pertain to Treasury functions and financial reporting, general knowledge of municipal accounting and financial procedures, as well as state municipal UMAS accounting requirements. Must have the ability to maintain accurate and detailed financial records and maintain confidential information, as well as proficiency in computer applications for financial management. Excellent customer service skills, honesty, reliability, and discretion are essential.
Salary and Benefits: This is a 20-hour per week, benefit-eligible union position with an hourly salary range of $29.20 - $34.18.
